Summary

This position supports the Director of Equipment Sales & Procurement by providing administrative support primarily related to the Buying & Selling Equipment. 

Essential Duties and Responsibilities

  • Provides administrative support and performs recordkeeping/reporting duties, maintaining data integrity within operating system (LME) and other relevant systems, initiating processes, and communicating with various contacts throughout the stages of the Equipment Procurement process including but not limited to:

    • Creates Purchase Orders

    • Coordinates the Decal/Tire Shipment to OEM

      • Pre-Orders Trailer Decals (New Builds)

      • Coordinates related paperwork and recordkeeping (factory DOT paperwork, LME, imaging)

      • Order Trailer Tires (New Builds)

      • Coordinate Trailer Tire Delivery/Payment Allocation (New Builds)

    • Updates/Maintains records for newly purchased equipment

      • Unit # Assignment

      • Entry of Specs

      • Unmanned Truck Record

    • Initiates Request for Plates/Title Filing (INC/SPEC purchases)

    • Coordinates removal of stacks of units from OEM

      • Communicates with Operations Staff

      • Coordinates movement from OEM to ATS Terminal

  • Provides administrative support and performs recordkeeping/reporting duties, maintaining data integrity within operating system (LME) and other relevant systems, initiating processes, and communicating with various contacts throughout the stages of the Equipment Sales process including but not limited to:

    • Obtains Copy of Title

    • Creates BOS (Bill of Sale)

    • Coordinates and provides relevant documents to Buyer/Finance Contact

    • Obtains signed BOS and 1031 Exchange Form (when warranted)

    • Alerts Maintenance Staff of Asset Sale

    • Updates records to document sale (LME, Eqp4Sale spreadsheet)

    • Coordinate details and documents with internal staff (Fixed Assets, Acctg, Licensing, Cash Application)

    • Gains Approval for Title Signatures; Sends Title (Licensing)

    • Coordinates QualComm recovery/reconciliation on sold units

  • Provides general administrative support and record-keeping duties in support of theDirector of Equipment Sales & Procurement, monitoring, investigating and resolving problems, maintaining records including but not limited to:

    • Recording/Entering specs for owner-operator equipment, when applicable.

    • Assists with customer surveys related to equipment

    • Monitors equipment-related field service projects (i.e., recalls, campaigns)

    • Coordinates internal lease/rental agreements

    • Communicates PM Plans, Assignments during Flips, Updated PM Schedules (tasks) for Non-CES Equipment

  • Performs other duties and assumes other responsibilities as assigned

Education and Experience

  • Demonstrated work experience, preferably 2+ years working in an administrative function requiring attention to detail.

  • Solid Data Entry and Microsoft Office skills (Word, Excel).
